Refund & Cancellation Policy

We understand that professional commitments can change. This policy sets out — clearly and fairly — when refunds are available, how cancellations are processed, and the timelines you can expect from ELSWA.

01 Introduction

At Endo Laparoscopic Surgeons Welfare Association (ELSWA), we strive to provide a transparent and fair registration experience for our members, delegates, trainees, sponsors, and participants. This Refund & Cancellation Policy outlines the conditions under which cancellations, refunds, transfers, and payment-related requests are handled for memberships, hands-on training programs, conferences, workshops, and other services offered through the ELSWA website.

By completing a registration or making a payment, you acknowledge that you have read and accepted this Refund & Cancellation Policy.

02 Membership Refunds

Membership fees are generally non-refundable once an application has been reviewed, approved, or the membership has been activated.

Refunds may only be considered under exceptional circumstances, such as duplicate payments or technical payment errors, subject to review by the ELSWA administration.

If a membership application is rejected by ELSWA due to eligibility requirements, the applicable registration amount may be refunded after deducting any administrative charges, where applicable.

03 Training Program Refunds

Registrations for hands-on training programs are reserved based on limited seat availability.

  • Cancellation requests submitted well before the scheduled batch may be considered for a partial refund or future batch transfer.
  • No refund may be available once the training program has commenced or if the participant fails to attend without prior notice.
  • ELSWA reserves the right to determine refund eligibility based on the circumstances of each request.
04 Conference & Workshop Refunds

Conference registrations may be cancelled by submitting a written request before the applicable cancellation deadline.

Depending on the timing of the request, ELSWA may provide:

  • A full or partial refund.
  • A credit toward a future ELSWA event.
  • A transfer of registration to another eligible participant, subject to approval.

Requests received after the official cancellation deadline may not be eligible for a refund.

05 Event Modifications & Cancellations

ELSWA reserves the right to modify event schedules, speakers, venues, workshop timings, or program content whenever necessary due to operational, technical, or unforeseen circumstances.

If an event is postponed, participants may be offered:

  • Registration validity for the revised event date.
  • Transfer to another eligible program.
  • A refund, where deemed appropriate by ELSWA.
06 Sponsorship & Partnership Payments

Payments made toward sponsorships, exhibitions, partnership packages, or institutional collaborations are subject to the specific agreement executed between ELSWA and the sponsoring organization.

Any refund or cancellation shall be governed by the terms outlined within the respective sponsorship agreement.

07 Payment Errors

If you believe you have:

  • Made a duplicate payment,
  • Been charged incorrectly,
  • Experienced a technical payment issue,

please contact the ELSWA support team as soon as possible with your payment reference number and transaction details.

Verified payment errors will be reviewed and resolved at the earliest possible opportunity.

08 Refund Processing

Once a refund request has been approved:

  • Refunds will generally be processed using the original payment method.
  • Processing time may vary depending on the payment gateway or financial institution.
  • ELSWA is not responsible for delays caused by banks or payment service providers after the refund has been initiated.
09 Participant Transfers

Where permitted, ELSWA may allow a registered participant to transfer their registration to another eligible individual.

Transfer requests:

  • Must be submitted before the applicable deadline.
  • Are subject to administrative approval.
  • May require supporting documentation.
  • May be subject to an administrative processing fee.

Not all registrations or membership categories are transferable.

10 Force Majeure

ELSWA shall not be held responsible for cancellations, postponements, or changes resulting from circumstances beyond its reasonable control, including but not limited to:

  • Natural disasters
  • Government restrictions
  • Public health emergencies
  • Travel disruptions
  • Civil disturbances
  • Technical infrastructure failures

In such situations, ELSWA will make reasonable efforts to provide suitable alternatives or revised arrangements whenever possible.

11 Changes to this Policy

ELSWA reserves the right to revise or update this Refund & Cancellation Policy at any time to reflect changes in organizational practices, legal requirements, or operational procedures.

The latest version will always be published on this page with the updated revision date.
